Alert in SharePoint 2010

As the KnowledgeShare environment grows and the size of content increases, it quickly becomes apparent that you cannot possibly be aware of changes to all of the information that is relevant to you. In fact, the primary goal for introducing SharePoint is to provide users with quick and easy access to relevant information. Organizations are often challenged by updating people with information they might need, and individuals often have difficulty staying aware of changes to information they care about. Manually scanning information sources for new or changed materials would be extremely time consuming. For this reason, you want to use an alert.  An Alert is an email that is sent as specified by the user when changes have been done to the site, a list, a document, a calendar or many other items.

Below is how you setup an alert for a document library in SharePoint 2010:

  1. Go to the library you want an alert on.
  2. Click on Library (under Library Tools)
  3. Click on Alert Me (under Share & Track)
  4. Click on alert on this library
  5. Change Alert Title if you would like
  6. Make sure your name is in the Send Alerts To section. If you are setting this up for someone else you can put their name in this location.
  7. Choose the type of changes that you want to get
  8. Choose the kinds of changes you want
  9. Choose how often you want alerts sent
  10. Change the day and time if needed
  11. Click OK
This is adapted from Microsoft Sharepoint Help.

Checking out Dropbox

I was at a meeting last week and was reminded of a great service: Dropbox.  The consultant at the meeting was telling us of how she uses it with her clients to share files.  Well I descided that I would give it a try.  So far I have downloaded it to my ipad and have set it up.  It was really easy to setup.  Just took about 1 minute, service looks good.  The first change I made was in the settings, I changed it so that my videos and pictures would stay the same as when I uploaded them.

To do this

  1. Find the Setting button and tap on it
  2. Tap on Upload Quality
  3. Tap on original.
Link to the site is https://www.dropbox.com/  I will keep you posted on what I am doing and how it is going.
